Privacy policy
This policy explains what we do with personal information on this website. It is written to be read, not to be impressive. If anything here is unclear, write to us and ask.
In one paragraph
We collect what a form asks for and nothing more. Warranty registration needs your name, contact details, address, purchase details and a photograph of your invoice. We use that to verify and honour your warranty, and to service the product. We do not sell your information to anyone. Your invoice photograph is stored privately and is not reachable from the internet.
1. What we collect
When you register a warranty
- Your name, mobile number and email address
- An alternate mobile number, if you give one
- The installation address, including city, state and PIN code
- Product model, capacity, and serial number if you provide it
- Date of purchase, invoice number, and the name and city of the shop
- A photograph or PDF of your purchase invoice or warranty card
When you raise a service request
- Your name, mobile number and email address
- The address where the product is installed
- A description of the problem, and any photograph you choose to attach
When you make a business or general enquiry
- Your name, firm name, mobile number, email address and location
- What you wrote in the message
Automatically, when you use the site
- Your IP address, recorded with form submissions to prevent abuse and spam
- Your browser type, recorded with warranty registrations for the same reason
- A language preference cookie, if you switch to Hindi
- Aggregate usage statistics through analytics, described under Cookies below
We do not ask for and do not want your bank details, card numbers, Aadhaar, PAN or any other government identity number. No form on this site requests them. If someone claiming to be from TEJVAAN asks you for these, it is not us — please report it to us.
2. Why we collect it
| Information | Purpose |
|---|---|
| Name, mobile, email | To identify your warranty, contact you about it, and send your certificate |
| Installation address | To send a technician to the right place, and to route service by area |
| Purchase date and invoice number | To calculate the warranty period, which runs from the date of purchase |
| Invoice photograph | To verify the purchase before activating cover |
| Shop name and city | To understand which dealers are selling, and to resolve disputes about where a unit was bought |
| IP address and browser | To limit spam and repeated fraudulent submissions |
3. Your invoice photograph
This deserves its own section, because it is the most sensitive thing we hold.
- It is stored outside the public area of the web server. There is no web address that leads to it. It can only be opened through a page that first checks a signed-in staff account.
- Images are re-encoded when uploaded. This strips location data and other metadata your phone may have embedded, and it destroys anything hidden inside the file.
- A copy is kept in our own private Google Drive folder, so that a hosting failure cannot lose your warranty proof. That folder is not shared with anyone.
- Every time a staff member opens an invoice photograph, that access is recorded in an activity log with their name and the time.
4. Where it is stored
Our website and database are hosted on servers operated by Hostinger. A mirror copy of form submissions, and of invoice photographs, is kept in our own Google Workspace account so that records survive a hosting problem. Both are commercial providers whose servers may be located outside India. Where data is transferred outside India, it is transferred for the purposes described in this policy and remains subject to it.
Emails we send you are handled by our email provider. If you reply to one, your reply is stored in our mailbox.
5. Who else sees it
We share personal information only in these situations:
- Service technicians. To attend a service call we pass the technician your name, contact number, address and the fault description. Nothing else.
- Our service providers. Hosting, email and cloud storage providers process data on our behalf, under their own terms, to run the systems described above.
- Where the law requires it. If we receive a lawful order from a court or an authority entitled to make one.
We do not sell your personal information, and we do not rent or trade contact lists. We do not pass your details to other manufacturers, advertisers or data brokers.
6. How long we keep it
| Record | Retained for |
|---|---|
| Warranty registration and invoice photograph | The warranty period, plus three years — so that a late claim or dispute can still be examined |
| Service tickets | Three years from closure |
| Business and general enquiries | Two years from last contact |
| One-time verification codes | Ten minutes, then deleted |
| Spam and rate-limiting records | One day |
| Staff activity log | One year |
7. Your rights
You can ask us to:
- Show you what we hold about you
- Correct anything that is wrong — a misspelled name, a wrong address
- Delete your information, where we are not required to keep it
- Stop sending you anything other than messages about a warranty or service request you have with us
Write to [email protected] from the email address on your registration, or call our toll-free number. We will respond within thirty days.
One honest limitation on deletion
If you ask us to delete a warranty registration, we can do that — but your warranty record goes with it. You would then need your original invoice to make any future claim. We will always tell you this before acting, so you can decide.
8. Cookies
This site uses very few cookies, and none for advertising.
| Cookie | Purpose | Lasts |
|---|---|---|
TJVSESS | Keeps a form session so submissions can be protected against cross-site forgery | Until you close the browser |
tjv_lang | Remembers whether you chose English or Hindi | One year |
TJVADMIN | Staff sign-in session. Only set for our own team | Until sign-out or 30 minutes idle |
If analytics is enabled on this site, it is used only to understand which pages are useful, in aggregate. We do not use analytics or advertising cookies to build a profile of you across other websites.
9. Children
This site is meant for adults buying and owning household appliances. We do not knowingly collect information from anyone under eighteen. If you believe a child has submitted information to us, write to us and we will delete it.
10. Security
We take these measures, and it is fair to say what they are:
- The whole site is served over HTTPS
- Passwords are stored as one-way hashes; nobody at TEJVAAN can read a staff password
- Staff sign-in needs a password and a code sent to the account email
- Database queries use parameter binding, which closes off injection attacks
- Uploaded files are validated by content, re-encoded, and stored outside the public web area
- Form submissions are rate-limited, and warranty lookups are limited to prevent anyone testing numbers in bulk
- Staff actions on customer records are logged
No system is completely secure, and we will not claim otherwise. If we ever discover a breach affecting your personal information, we will tell you and the relevant authority, describe what happened, and say what we are doing about it.
If you find a security problem on this site, please tell us at [email protected] before disclosing it publicly. We will take it seriously and we will not react badly to being told.
11. Changes to this policy
When we change this policy we update the revision date at the top. If a change materially affects how we handle information you have already given us, we will make a reasonable effort to tell the people affected.
12. Contact and grievances
